Working with a Chinese Audio Manufacturer: MOQ, QC & Lead Times Explained
China produces most of the world's earbuds, and for good reason: a mature supply chain, proven designs, and manufacturing economics that no other market matches. But importing audio products is a process, and the brands that succeed understand the mechanics — MOQ, QC, lead times, and payment terms — before they sign anything.
This guide is written from the factory side. We are C&Y Audio, a Chinese audio manufacturer since 2017, and these are the answers we give every first-time importer.
MOQ: what it really means
MOQ (minimum order quantity) is the smallest order a factory will accept, and it depends on how much you customize. As a general guide at C&Y:
- C&Y brand MOQ — order our branded products, ready to distribute: from ~500 units
- Private-label MOQ — your logo, packaging, colors, ear tips: from ~3,000 units
- New-tooling MOQ — a new shell or mechanical design: tooling fee applies, MOQ agreed per project
Every order is quoted individually — share your volume and target price and we'll tailor the terms. And remember that MOQ is usually per model per order, not per year. If a factory advertises 100-unit MOQs for wireless earbuds, verify what is actually included — component sourcing at that volume often means long lead times or compromises.
The QC process, stage by stage
Quality control in audio manufacturing is a system, not a final check:
- IQC (incoming QC) — battery cells, chips, and drivers are verified on arrival
- IPQC (in-process QC) — inspections during SMT and assembly
- FQC (final QC) — functional testing: pairing, sound, battery, charging
- OQC (outgoing QC) — AQL sampling before shipment, often with third-party agents

Lead times: a realistic timeline
- Week 0–1RFQ and quotation — unit prices, MOQ, certifications confirmed
- Week 1–3Sampling — working samples with your logo/packaging for approval
- Week 3–4Order confirmation — deposit, spec sheet signed, production scheduling
- Week 4–9Production — 25–45 days depending on volume and customization depth
- Week 9–10Pre-shipment inspection + booking freight
- Week 10–15Sea freight to US/EU (air freight: 5–10 days)
Total: roughly 2.5–3.5 months from signed order to goods at your door by sea. Plan your launch calendar accordingly.
Payment terms that protect both sides
Standard terms in the industry are 30% deposit to start production, 70% balance before shipment (T/T). For first-time partners, some factories accept PayPal or escrow-based trade assurance for smaller orders. Be suspicious of any factory demanding 100% upfront — and equally suspicious of one offering "no deposit," which usually means hidden costs elsewhere.
Common mistakes new importers make
- Choosing price over process — the cheapest quote usually has the weakest QC and worst communication
- Skipping samples — photos cannot show fit, finish, or battery life
- Ignoring certifications — confirm which standards (CE, RoHS, REACH, FCC) apply to your target market, and make sure the factory supports certification to those standards. Your brand name takes the liability, so document the certification scope in the agreement.
- No spec sheet — verbal agreements create disputes; everything belongs in writing
- Forgetting the accessories — cables, cases, manuals, and carton markings affect both cost and customs clearance
Good practice: request a product specification sheet with every quotation. If a factory cannot document the product, it cannot control the product.
